HealthPRO Pediatrics (Temecula Valley Therapy Services) is looking for an ABA Care Coordinator in Temecula, CA!

We are a growing and thriving outpatient pediatric clinic located in Temecula, CA. We provide ABA, Autism Assessments, Psycho-educational assessments, Physical Therapy, Occupational Therapy, Speech Therapy and extracurricular groups for children with special needs in our clinic and through our local early intervention programs in the field.

 

The ABA Patient Care Coordinator is one of the first points of contact for the entire organization, which requires a positive attitude and polished, professional appearance. This position is Monday through Friday 8 am to 5 pm. The ABA Patient Care Coordinator is responsible for reception, answering phones, new client intakes, insurance verifications, scheduling of existing clients, submitting authorizations, scanning and faxing, communicating with doctors and other healthcare professionals in the community, communicating with our therapists and staff, light cleaning, and assisting with administrative duties as assigned by the Office Administrator.

 

 

This position performs highly responsible work that will result in a well-organized and efficient front desk area that is oriented to customer service and demonstrates absolute adherence to company policy & procedures. Due to the nature of this position reliable attendance in mandatory.

  • Full time Monday-Friday 8am-5pm

Work Environment:
Employees work under typical office/clinic conditions, the noise level is usually low to moderate, but at times can be high due to many children coming and going and waiting in the waiting room. We strive to have a fun, supportive, team environment at our office and we look forward to meeting you!

Responsibilities

 

  • Greets all persons entering the clinic in a friendly manner and immediately determines the nature of their visit. Will check-in clients for their visits and collect co-pays at the time of check-in.
  • Schedules all new clients and ongoing sessions and updates appointment/schedules as needed.
  • Will notify therapy staff of the arrival of clients once they are checked-in and schedules new and additional appointments with client to ensure a full treatment schedule.
  • Will operate a multi-line phone system to answer, screen, route calls, provide information to callers, take messages, and schedule appointments. Retrieves phone messages from voicemail system at the beginning of the work day and periodically throughout the shift. Routes these appropriately. Makes calls to all new clients to remind them of upcoming appointments and what to bring/what to expect.
  • Provides clients with intake instructions as well as copies of our office policies and legally required documents. Also, maintains each client’s electronic medical record.
  • Maintains accurate data in our tracking system for inquiries.
  • Completes insurance verifications for ABA clients.
  • Operates a copier, fax machine, scanner and printer. Oversees distribution of communications (faxes, phone messages) to the appropriate individual. Some of these tasks include but are not limited to daily computer data entry, provide admin support as assigned by Operations Coordinator.
  • Responsible for keeping the reception and waiting area neat, ordering clinical supplies and other duties as directed by Operations Coordinator.

Qualifications

KNOWLEDGE/SKILLS/ABILITIES:

  • Qualifications and Education Requirements

    • Empathy and compassion are a must with the children and families we work with.
    • All applicants with a high level of forward-facing customer service experience welcome to apply.
    • High school diploma/GED required (Associate degree preferred)
    • 1-3 years basic office experience. Must be very organized, follow directions, able to multi-task and is friendly & polite to patients that come into the clinic.
    • Pediatric Therapy Clinic Experience is a plus
    • Ability to handle a fast-paced environment and prioritize tasks based on importance
    • Demonstrate excellent written and verbal communication skills.
    • Excellent typing skills (word processing; 50-60 wpm), high level of proficiency with general office PC applications (i.e. MS Word, MS Excel, MS Access, MS PowerPoint) and comfort with learning new applications as required
    • Verifiable track record of reliable attendance with previous employers
